HubSpot Integration
Connect HubSpot so the AI agent can read support tickets, notes, contacts, and companies while it writes or updates documentation in the editor and in workflows.
Connect a HubSpot account to give the AI agent live context from your support tickets and CRM records. The agent uses them to find the questions customers keep asking, so you can write docs that answer them. It reads HubSpot only when a prompt needs it, and it never changes anything in HubSpot.
Before you begin
- You need the Admin or Editor role in your Documentation.AI organization to connect HubSpot, disconnect it, or turn the connector on or off.
- You need a HubSpot user who can install apps in the HubSpot account you want to connect.
- Your organization can connect one HubSpot account.

How to connect HubSpot
Open Agent Settings
In the dashboard sidebar, under AI, click Agent Settings. The Connectors section lists the tools the agent can pull context from.
If you are in the editor, you can click Connectors below the chat input instead. It opens the same list.
Click Connect on the HubSpot card
HubSpot opens in the same tab. Sign in if HubSpot asks you to.
Approve access in HubSpot
If you have more than one HubSpot account, choose the one to connect. Approve access.
HubSpot sends you back to the page you started from, and "Connected successfully" appears.
Check that the connector is on
The HubSpot card now shows your account name, Manage, and a switch that is on. HubSpot is now on for the documentation project you have open.
The connection belongs to your organization. To use HubSpot in another documentation project, open that project, go to Agent Settings, and turn on the HubSpot switch.
How to use HubSpot in the editor
Check that HubSpot is on
In the editor chat, look at the Connectors button below the chat input. The HubSpot icon appears there when the connector is on for this documentation project.
Ask for HubSpot context in your prompt
Name HubSpot and what to look for, such as a topic, a time range, a pipeline stage, or a customer. See Example prompts.
The agent reads the tickets and records it needs, then answers or edits your pages.

How to use HubSpot in a workflow
Workflows run the agent in the background and commit their changes to your Git repository. They use the connectors that are on for the documentation project.
Open the workflow form
In the dashboard sidebar, under AI, click Workflows. Click Create workflow, or open an existing workflow and click Edit.
Keep HubSpot selected
Open Connectors in the form. HubSpot is selected by default. Clear its checkbox if you want this workflow to run without HubSpot.
Tell the workflow what to read from HubSpot
In Prompt, say what to read and what to update, for example: "Read the HubSpot tickets created in the last 7 days, find questions our docs do not answer, and add them to the FAQ."
For triggers, schedules, and run history, see Workflows.
Turn off or disconnect HubSpot
To stop one documentation project from using HubSpot, turn off the switch on the HubSpot card in Agent Settings. "HubSpot connector disabled" appears. Other documentation projects keep using HubSpot.
Disconnecting removes HubSpot from every documentation project in your organization, including the workflows that use it.
To disconnect HubSpot from your organization:
Open Manage
On the HubSpot card, click Manage.
Disconnect
Click the trash icon next to your account, then click Disconnect to confirm. "HubSpot disconnected" appears.
What the agent can read
The agent reads HubSpot through these tools. It picks the tools that fit your prompt.
| Tool | What it does |
|---|---|
searchTickets | Searches support tickets by text, pipeline stage, date range, or customer. |
getTicket | Reads one ticket: subject, content, pipeline, stage, priority, owner, and dates. |
listTicketPipelines | Lists ticket pipelines and their stages. |
searchNotes | Searches the notes logged on tickets, contacts, and companies. |
searchContacts | Searches contacts by name or email. |
searchCompanies | Searches companies by name or domain. |
listOwners | Lists HubSpot users, so the agent can tell who owns a ticket or wrote a note. |
Example prompts
- Search HubSpot tickets from the last 30 days about SSO and list the questions our docs do not answer.
- Read the closed HubSpot tickets about webhooks and add a troubleshooting section to the webhooks guide.
- Find the HubSpot tickets from Acme Corp and summarize the setup problems they reported.
- Read the notes on ticket 18342 and update the billing FAQ with the fix the team gave.
Common questions
If HubSpot fails
- "Could not complete the connection" or "Failed to complete the connection": Click Connect on the HubSpot card again.
- "Connection could not be verified": Start again from the HubSpot card in Agent Settings, in the same browser tab.
- "connection expired" in the Manage dialog: Click Reconnect HubSpot and approve access again.
- The agent says "No HubSpot account is connected to this organization": The agent shows this message whenever HubSpot is off for this documentation project, even if your organization is connected. Open Agent Settings in this project. If the HubSpot card shows Connect, connect HubSpot. If it shows a switch, turn it on. In a workflow, also check that HubSpot is selected under Connectors in the workflow form.
